The purchase of a ticket implies acceptance of the terms and conditions. The purpose of these regulations is to ensure the smooth running of the event and the protection of attendees. Failure to comply with them may result in expulsion, extending to future editions.

Access and credentials

  • 1. Entry register: All persons entering the event venues must present official accreditation, which must be valid and visible during their stay. Duplicates of this accreditation may not be made.
  • 2. Attendance flow: In the event that the official capacity of the venue is exceeded, the organization reserves the right to temporarily segment access for attendees into blocks in order to maintain an adequate and safe flow. Access to the event may be interrupted at any time without prior notice.
  • 3. Opening hours: The event opening hours distinguish between MERCHANTS and VISITORS. Visitors will not be able to access the event during the time slot reserved for merchants.
  • 4. Area restricted to exhibiting companies: It is prohibited to access the interior area of the exhibitors' tables without prior authorization and without the corresponding accreditation. This area is for the exclusive use of said companies.

Safety and Responsibility

  • 5. Security service: The security teams from the company I-Sec and the event's secret security service will be on duty around the clock. Notwithstanding the above, the presence of security personnel and systems does not guarantee compensation from The Palace, a Luxury Collection Hotel, Madrid or the Organization in the event of an accident due to force majeure, theft, or other incidents.
  • 6. Responsibility of exhibiting companies: Each exhibiting company is responsible for the material on display in the event of loss or theft. During closing hours, the material must be kept under lock and key. The Palace, a Luxury Collection Hotel, Madrid, and the organization are not responsible for any items left unattended.
  • 7. Personal safety: The Palace, a Luxury Collection Hotel, Madrid and the organization are not responsible for visitors' personal belongings and valuables. It is the personal responsibility of each visitor not to leave their belongings unattended.
  • 8. Security cameras: Anyone entering with the appropriate official accreditation is informed that they will be recorded by high-definition cameras. If any illegal/irregular activity is detected, the relevant authorities will be informed or the person will be expelled.

Behavior and Conduct

  • 9. Sale in non-designated areas: The sale of any numismatic material between visitors within the hotel premises is strictly prohibited. Failure to comply will result in immediate expulsion from the event. The sale of numismatic material from visitors to exhibiting merchants and vice versa must take place in the areas designated for the event.
  • 10. The transactions between visitors and merchants are private and independent of the event organization, without any guarantee or relationship on the part of the latter. Tax obligations and material guarantees are the sole responsibility of the parties involved.
  • 11. Numismatic material Purchased by non-residents in Spain, whether from the European Union or third countries, it may be subject to customs declaration and Law 16/1985 of June 25 on Historical Heritage.
  • 12. Advertisement: No advertising of any kind may be distributed without the consent of the event organizers.
  • 13. Appropriate behavior: Verbal or physical aggression, disruption of the event, and, ultimately, any behavior that jeopardizes the stability of the event or the safety of individuals will not be tolerated. Failure to comply will result in immediate expulsion from the event.
  • 14. Prohibition of access: Access with alcoholic beverages, illegal substances, knives or firearms, and food not purchased at the hotel is prohibited.
  • 15. No smoking: Smoking tobacco or using electronic cigarettes is strictly prohibited.
  • 16. Illegal material: Access with illegal material of any kind for sale at the event is prohibited.
  • 17. Behavior in access areas and common areas: Appropriate behavior is required, without obstructing, shouting, or running inside the facilities of The Palace, a Luxury Collection Hotel, Madrid.

Photography and Recording

  • 18. No recording allowed: Photographs or audio and video recordings will not be permitted without the express consent of the persons concerned or involved and without the corresponding press accreditation.
  • 19. Conferences: Questions must be submitted in writing in advance and will be asked by the conference coordinator. If there is not enough time to ask all the questions, the speaker's contact details will be provided for further inquiries. The maximum capacity for attendance at the conferences will be filled on a first-come, first-served basis, and if capacity is exceeded, access will not be permitted.

Health and Emergencies

  • 20. Healthcare: The Organization will not be held responsible for pre-existing health problems or sporadic conditions. In case of emergency, each person is responsible for seeking medical assistance.

Right of Admission

  • 21. Right of admission: Event security has a duty to protect attendees and has the authority to remove any person who disrupts the normal course of the event. The organization reserves the right to refuse admission for any circumstance that could potentially affect the normal course of the event, inappropriate behavior, or acts contrary to the law.
  • 22. Minors: Children under the age of 16 are not required to pay admission but must present valid and visible identification. They must be accompanied by an adult who is responsible for supervising them during their stay at the event.

Data protection

In order to improve identification at the entrance, preserve security within the event, and facilitate proper identification at all times, the organization has decided to include images on the identification cards of those attending the event. These images are considered personal data and are therefore subject to current regulations on the protection of personal data (GDPR EU 679/2016 and LOPDGDD 3/2018). Furthermore, Article 2.2 of Organic Law 1/1982 of May 5, which regulates the Right to Honor, Personal and Family Privacy, and Image, establishes that there shall be no unlawful interference in the protected sphere when it is expressly authorized by law or when the holder of the right has given their express consent to that effect. Given our commitment to compliance with these regulations, we would like you to expressly authorize the organization to capture and process your image, with the Jesús Vico Group being responsible for processing it for the purpose of incorporating it into the accreditation card for security and access control purposes.
